Privacy Policy for K8 Field Service Mobile Application

This privacy policy governs your use of the software application K8 Field Service (“Application”) for mobile devices that was created by Datawright. This policy supplements the Datawright Privacy Policy (“Corporate Policy”).

Summary

The application is a companion app for K8 Field Service and K8 Manufacturing, allowing you to access features while on the move. In particular, the application supports engineers and delivery drivers with job queues, consignment and van stock, and photo and signature capture.

The application must be connected to a licensed K8 Manufacturing & Field Service ERP system (“ERP System”) to access its features. You must work for, or be authorised by an organisation (“your organisation”) with a valid licence in order to use this application. Your organisation will provide the connection details (user name, password, server) and all communications will be with that ERP System. If you do not work for or are authorised by such an organisation you will not be able to use the application.

Datawright do not collect or store any personally identifiable information. We do use Google Analytics, which collects anonymised and aggregated usage information, to help us improve the application.

Your organisation is the Data Controller, and is responsible for any personal data submitted. The privacy of this information is governed by your organisation and you should consult their privacy policy for further information.

What information does the Application obtain and how is it used?

User Provided Information

Registration with an ERP System is mandatory in order to be able to use the basic features of the application.

Registration requires a user name, password and ERP System (in the form of a web address that points to your organisation’s API).  You must have a valid account in order to proceed, it is not possible to create a new account from the application. This information needs to be provided by your organisation.

Camera permissions

As part of the Field Service function, your organisation can request (or require) you to take photos using your device’s camera or retrieve a photo from your device’s picture library.  For instance, this may be before and after work is performed to show progress, or as a visual confirmation that you could not gain access to a site.

These photos are uploaded to the ERP System and stored with the job.

As part of the Manufacturing functions, you can use the device’s camera as a barcode scanner as an alternative to typing in part numbers by hand. This functions as a “live preview” window until a barcode is detected, at which point the barcode information is extracted and used. No images or video are captured or stored during barcode scanning.

Automatically Collected Information

In addition, the mobile application may collect certain information automatically, including, but not limited to, the type of mobile device you use, your mobile devices unique device ID, your mobile operating system, and information about the way you use the application. 

Does the Application collect precise real time location information of the device?

As part of the Field Service function in the mobile application, we may use GPS technology (or other similar technology) to determine your current location and send this information to your organisation when you request new jobs. Datawright do not collect or store this information and it is not shared with other users or partners.

If you do not want us to use your location for the purposes set forth above you should first check with your organisation to see what company policies may apply.

Do third parties see and/or have access to information obtained by the Application?

Only aggregated, anonymized data is periodically transmitted to external services to help us improve the Application and our service. We will share your information with third parties only in the ways that are described in this privacy policy.

Your organisation may share data obtained by this application with their suppliers and trading partners in limited circumstances. This may include exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction. In the event that they buy or sell any business or assets they may also disclose your personal information to the prospective sellers or buyers. Further information regarding your organisations specific policy in this respect should be sought from your organisation.

What are my opt-out rights?

If you want to opt-out, you should first check with your organisation to see what company policies may apply.

You can opt-out of providing location information by turning off the location services for the mobile application located in your account settings or in your mobile phone settings and/or within the mobile application.

You can stop all collection of information by the application easily by uninstalling the application. You may use the standard uninstall processes as may be available as part of your mobile device or via the mobile application marketplace or network.

Data Retention Policy, Managing Your Information

Your organisation may retain User Provided data for as long as you use the application and for a reasonable time thereafter. If you’d like them to delete User Provided Data that you have provided via the application, please contact them directly. Please note that some or all of the User Provided Data may be required in order for the application to function properly.

Security

Your organisation is responsible for safeguarding the confidentiality of its information and your information as an employee.

Datawright limit access to the anonymised, aggregated data to authorized employees and contractors who need to know that information in order to operate, develop or improve our application.

Changes

Our Privacy Policies may be updated from time to time for any reason. You are advised to consult this Privacy Policy regularly for any changes, as continued use is deemed approval of all changes.

Your Consent

By using the application, you are consenting to your organisation’s processing of your information as set forth in this Privacy Policy and our Corporate Privacy Policy, now and as amended by us.
